How to Renew Your Philippine Passport in Malaysia

Applying for a New Passport in Malaysia

The Philippine passport is valid for 10 years, although previously, it had a validity period of 5 years only. If the expiry date of your passport is drawing near, then perhaps it’s time to renew and start preparing the requirements.

Requirements

To renew your passport, be sure to prepare the following requirements.

For e-Passports:

  • Confirmed online appointment;
  • Accomplished renewal application form;
  • Current e-Passport; and
  • Photocopy of e-Passport.

For Machine Readable Passports (MRP):

  • Confirmed online appointment;
  • Accomplished renewal application form;
  • Current e-Passport;
  • Photocopy of MRP (data page only);
  • Original and 1 photocopy of Birth Certificate issued by the Philippine Statistics Authority (PSA) or Report of Birth;
  • Original and 1 photocopy of PSA-issued Marriage Certificate or Report of Marriage (for married women); and
  • Original and 1 photocopy of any valid ID (e.g. Company ID, Residential ID, SSS ID, GSIS ID, UMID, Driver’s License, PRC ID, OWWA ID, iDOLE card, Voter’s ID, Senior Citizen ID, PWD ID, Seaman’s Book, Entry Permit from Malaysian Government, etc.).

NOTE: Personal appearance is mandatory as part of applying for passport renewal.

The Consular Fee for passport renewal is RM 288.00. Payments are made in cash (Malaysian Ringgit) only.

How to Book a Passport Appointment

Availing of passport services at the Philippine Embassy requires booking an appointment online. To set a passport appointment, simply go to this website URL: http://philembassyklappointment.biz. Enter the necessary information and take note of your scheduled date and time for passport renewal. Submission of applications to the Embassy is usually between 9:00 am and 4:00 pm only.

How to Renew Passport During Appearance Day at the Philippine Embassy

On the date and time of your appointment, proceed to the Philippine Embassy in Kuala Lumpur. Don’t forget to bring all the requirements, including original documents and photocopies.

Upon submitting your application, your documents will be checked and verified. Likewise, your biometrics (e.g. front facing photograph, fingerprints) will be taken as part of the data-capturing process.

After your trip to the Embassy, you can expect to wait for your new passport within 4 to 6 weeks. You can check if your passport is already available through the “Passport Finder” on the Philippine Embassy website. Just type your surname and service number on the required fields, then click “Submit.” (NOTE: The service number is indicated on the Official Receipt given to you by the Cashier at the time of payment).

STEPS IN PROCESSING THE RENEWAL

STEP 1: PHYSICAL APPEARANCE AT THE EMBASSY. You will be asked to submit an ID at the gate for a visitor’s pass that you need inside the premises. It is wiser if you write down your passport number and other documents copy for your reference.

STEP 2: INSIDE THE EMBASSY. You first head onto the room full of people (which you will see right away) you queue on the ePassport window and submit your documents for verification and encoding.

STEP 3: PAYMENT. You then proceed to the cashier which you need to hand over the payment.

STEP 4. PHOTO TAKING. With your payment receipt, go to room #1 queue and wait for your turn for your photo to be taken, your biometrics prints. After all these, they will return your passport with receipts attached to it.

STEP 5: RELEASE. It will approximately take 30 days or so for the release of your passport. As soon as the passport is ready for pick up, you can go directly to the embassy with your old passport and the receipts for claiming.

1. Is there a dress code for going to the Embassy?

Yes. Applicants are expected to come in proper attire. Please avoid wearing shorts, sleeveless tops or dresses, transparent clothing, or slippers. Likewise, please avoid wearing halters, plunging necklines, sando, spaghetti-strapped tops, tube tops, and the like. Also, please remember that earrings and colored contact lenses must be removed before undergoing data capture.

2. How can I claim my new passport?

To claim your new passport, be sure to bring your old passport (for cancellation) and the official receipt of your payment. If, for some reason, you are unable to collect your passport personally, you can authorize someone else to get it for you.

That being said, here are the rules for collecting passports through representatives:

  • Only an immediate family member (e.g. spouse, father, mother, brother, sister, or child of legal age) can collect your passport on your behalf.
  • Your representative should bring an authorization letter.
  • Passports of minor applicants may be claimed only by parents, adult siblings, or through an authorized representative with Special Power of Attorney (SPA). Be sure to bring: minor applicant’s old passport and birth certificate, parent’s passport, and official receipt.

Moreover, please keep in mind that passports remaining unclaimed after 6 months will be cancelled, in accordance with Department Order No. 37-03.

3. I am a minor applicant (below 18 years old). What are the requirements for passport renewal?

Minor applicants need to prepare the following documents:

  • Confirmed online appointment;
  • Accomplished application form;
  • Current passport;
  • Photocopy of passport data page;
  • Original and 1 photocopy of PSA-issued Birth Certificate or Report of Birth;
  • School ID (if available);
  • Photocopies of parents’ or authorized companion’s passports (data page only); and
  • Photocopies of parents’ or authorized companion’s government-issued IDs.

NOTE: Personal appearance of the minor applicant and either parent or authorized companion is mandatory.

4. I lost my passport. How can I replace it?

To replace a lost passport, you need to submit these documents to the Embassy:

  • Confirmed online appointment;
  • Accomplished application form;
  • Affidavit of Lost Passport;
  • Police Report with English translation;
  • Photocopy of data page of lost passport (if available);
  • Original and 1 photocopy of PSA-issued Birth Certificate or Report of Birth;
  • Original and 1photocopy of PSA-issued Marriage Certificate or Report of
  • Marriage (for married women); and
  • Original and 1 photocopy of any valid ID (e.g. Company ID, Residential ID, SSS ID, GSIS ID, UMID, Driver’s License, PRC ID, OWWA ID, iDOLE card, Voter’s ID, Senior Citizen ID, PWD ID, Seaman’s Book, Entry Permit from Malaysian Government, etc.).

NOTE: Aside from the above documents, you need to prepare a Lost Passport fee amounting to RM 720.00 (for e-Passports) or RM 420.00 (for MRP), plus an Affidavit of Lost Passport fee amounting to RM 120.00. Moreover, please note that there is a 15-day clearing period before your new passport is processed.

5. My passport has been damaged. How can I replace it?

To replace a damaged passport, the requirements are actually similar to those for replacing a lost passport. The main difference is that instead of an Affidavit of Lost Passport, you need to submit an Affidavit of Mutilation/Destruction. You’ll need to present your current (damaged) passport, as well.

Likewise, please prepare a Passport fee of RM 288.00, and an Affidavit of Mutilation fee of RM 120.00.
